Job Description
The Stock Exchange Benevolent Fund (SEBF) is dedicated to providing financial assistance and support to former members of the London Stock Exchange and their dependents during times of need and for the relief of poverty.
We are seeking a highly organised, compassionate, and detail-oriented Assistant Secretary to join the charity to ensure the efficient operation of the SEBF office.
Key Responsibilities:
- Administrative Support: Provide comprehensive administrative support to the Trustees and committee members including scheduling meetings, preparing agendas, taking minutes, and handling correspondence.
- Records Management: Maintain accurate and up-to-date records of all beneficiaries, donations, disbursements, and other relevant documentation.
- Communication: Serve as a primary point of contact for all inquiries related to the SEBF, responding to emails, phone calls, and letters in a timely and professional manner.
- Financial Administration: Manage the financial administration of the Fund, including processing payments, tracking expenditure. Liaising with our dedicated fund manager, accountant and legal adviser.
- Policy Governance and Compliance: Ensure that all activities of the charity comply with the charity rules and regulations, and with the relevant policies, regulations, and legal requirements.
- Support Services: Provide support to beneficiaries including visits every one or two years, confirming the financial status of potential beneficiaries and their dependents, offering information and guidance on the application process, eligibility criteria, advice and support. Ensure that beneficiaries are in receipt of their full state benefit entitlements including the state pension.
- Event Planning: Organise and coordinate SEBF events, such as quarterly committee meetings and trustee meetings.
Qualifications:
- Proven experience in administrative or secretarial role.
- Excellent organizational and multitasking skills, with a keen eye for detail.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to handle sensitive and confidential information with discretion.
- Compassionate and empathetic approach to supporting beneficiaries.
- Strong interpersonal skills and the ability to work effectively with a diverse range of beneficiaries.
- Experience and detailed knowledge of London Stock Exchange practice including a preference of having worked in a member firm
